How it starts

Four steps to put Botify to work inside your organization.

Whether you start with one system or dozens, Botify helps you launch quickly and scale gradually as your needs grow.

01

Discover the work environment

We identify the knowledge sources, systems and processes Botify will rely on, and understand the needs of each department.

02

Connect systems and data

Botify connects to the applications, knowledge bases and services your organization uses, becoming part of daily operations.

03

Tailor the experience

Define permissions, work scenarios and interaction style so Botify fits both employees and customers.

04

Start... then expand

Begin with a single use case, then add more departments, systems and scenarios, without rebuilding the platform.

What happens in each step

Discovery: where the knowledge lives today

We start from the questions your team actually receives, not from a list of systems. Past support transcripts are the most valuable source and the most consistently ignored, because they are written in the exact language your customers use: their dialect, their typos, their shorthand.

Connecting: knowledge first, then systems

Documents are uploaded and pages crawled, then chunked on logical boundaries (headings, paragraphs), not every fixed number of characters. Systems the agent needs to read come after. The order is deliberate: an agent wired to your systems without written knowledge answers precisely the questions nobody asks.

Tailoring: boundaries before capabilities

Tone and language are set, along with what the agent may do and when it hands off. Writing to your systems is off by default and opened one tool at a time. Starting narrow and widening is far easier than the reverse.

Expanding: one use case first

Begin with a single use case and measure it for a fortnight before adding a second. Three metrics suffice: first-contact resolution, handoff rate, and the rate of weakly-grounded answers. The third matters most and is the one nobody usually tracks.
